Glossary

A reference of key terms used across OtoPoint. If you encounter an unfamiliar word in the CRM or in these docs, you will find its definition here.


Battle Pass — A seasonal reward program with multiple tiers that customers progress through by earning points or completing orders. Think of it like a loyalty ladder: each tier unlocks a bigger reward. Example: "Summer Coffee Pass" — Tier 1 gives a free cookie, Tier 2 gives 20% off, Tier 3 gives a free specialty drink.

Category — A group of menu items shown as a tab or section when customers browse your menu. Categories help customers find what they want without scrolling through your entire menu. OtoPoint has two types: system categories (like "Popular" or "New", populated automatically from order data) and custom categories (created by you, like "Hot Drinks" or "Pasta"). Example: A pizzeria might have categories for "Pizzas", "Sides", "Drinks", and "Desserts".

Challenge — A goal you set for customers to complete in exchange for a reward. Challenges drive repeat visits by giving customers a reason to come back. Example: "Order 5 lattes this month and earn a free pastry" or "Spend 50 PLN and get a 10% discount voucher".

CRM — The web-based management dashboard where you run your restaurant on OtoPoint. Short for Customer Relationship Management. You access it at crm.okeep.io from any computer or tablet. This is where you manage your menu, view orders, configure loyalty programs, and invite staff.

Delivery Mode — How the customer receives their order. OtoPoint supports three modes: Table (a waiter brings the order to the customer's table), Pickup (the customer picks it up from a counter or designated spot), and Delivery (the order is delivered to an address). You choose which modes to enable in your merchant settings, and you can restrict specific service points to certain modes. Example: A counter-service coffee shop might only enable Pickup, while a full-service restaurant enables Table and Pickup.

Discount Voucher — A type of voucher that reduces the total price of an order by a percentage or fixed amount. Only one discount voucher can be applied per order. Example: "15% off your next order" or "5 PLN off orders over 30 PLN".

Free Item Voucher — A type of voucher that makes a specific menu item free. Multiple free item vouchers can be used in the same order, but each one applies to a specific item. Example: "Free Americano" — the customer adds an Americano to their cart and the voucher removes its cost.

Lobby — The virtual room a customer joins when they scan a QR code at a service point. The lobby is where real-time ordering happens — customers in the same lobby can see each other, form groups for shared orders, and interact with staff. You do not create lobbies manually; they are created automatically for each service point. Example: When a customer scans the QR code on Table 3, they join the lobby for that table.

Menu Item — A single product on your menu with a name, price, optional description, and optional image. Each menu item belongs to one or more categories and can have option groups attached for customization. Example: "Margherita Pizza — 28 PLN" with option groups for size and extra toppings.

Option Group — A reusable set of choices that you attach to menu items for customization. Each option within the group can adjust the price. Option groups are created once and shared across any number of items. Example: A "Cup Size" option group with Small (+0), Medium (+3 PLN), Large (+5 PLN), attached to every drink on the menu.

Order Status — The current stage of an order in its lifecycle. Orders move through these statuses in sequence: New (just placed by the customer), In Progress (kitchen is preparing it), Ready for Pickup (preparation is done, waiting for handoff), and Completed/Closed (delivered to the customer and finished). Orders can also be Cancelled at certain stages. Example: A kitchen display shows all "New" orders that need attention and all "In Progress" orders currently being prepared.

Points — The loyalty currency customers earn from placing orders. You set the earning rate (for example, 1 point per 1 PLN spent). Customers spend points on surprise boxes, or accumulate them to reach challenge and battle pass milestones. Points are tracked automatically — you do not need to manage them manually. Example: A customer places a 40 PLN order and earns 40 points at a 1:1 rate.

Promo Story — Promotional content that appears in the OtoPoint mobile app, similar to social media stories. Use promo stories to announce new menu items, seasonal specials, events, or limited-time offers. Example: A "New Summer Menu" promo story with an image of your new iced drinks, shown to all customers who have your restaurant saved in the app.

Reward Wheel — A spin-the-wheel game that customers can play after placing an order. You configure the prizes (points, vouchers, or nothing) and their probabilities. It adds a fun, gamified element to the ordering experience. Example: After every order, customers spin a wheel with segments for "10 bonus points", "Free cookie", and "Try again".

Service Point — A physical location in your restaurant where customers scan a QR code to start ordering. Each service point has a unique QR code and a name you choose. Common service points include individual tables, a counter, a terrace section, or a takeaway window. In the CRM, you may also see the term Printer — it means the same thing. Example: "Table 1", "Bar Counter", "Terrace A", "Drive-through Window".

Surprise Box — A mystery reward that customers purchase using their loyalty points. You create surprise boxes with a set of possible items inside (vouchers, bonus points, or other rewards), and the customer does not know exactly what they will get until they open it. Example: A "Mystery Coffee Box" costs 100 points and might contain a free latte voucher, a free cookie voucher, or 50 bonus points.

Voucher — A reward given to customers that they can apply to a future order. There are two types: Free Item vouchers (make a specific menu item free) and Discount vouchers (reduce the order total by a percentage or amount). Customers receive vouchers from challenges, battle passes, surprise boxes, or directly from you. Example: A "10% Off" discount voucher earned by completing a challenge.

Workspace — Your restaurant's account within OtoPoint. A workspace contains your menu, service points, orders, team members, loyalty programs, and all settings. If you manage multiple restaurant locations, each one has its own workspace. Example: "Mario's Pizzeria - Downtown" and "Mario's Pizzeria - Airport" would be two separate workspaces.
