First Steps

Get your restaurant up and running with OKeep. This guide walks you through everything from creating your account to receiving your first order.

What You Will Need

Before you begin, make sure you have:

  • A computer or tablet with a web browser
  • Your restaurant name, address, and contact info
  • Your menu (item names and prices)
  • A phone or tablet to test the QR code scanning

Step 1: Create Your Account

  1. Visit crm.okeep.io
  2. Click Sign Up and create an account using your email, Google, or another provider
  3. Once registered, you are automatically logged in to the CRM

OKeep uses a secure login system. After sign-up, you will be redirected straight to the CRM dashboard. You can log out at any time by clicking your profile in the sidebar.

Step 2: Create Your Workspace

After logging in for the first time, you will see the Select Workspace screen. Since you do not have a workspace yet, click Create New Workspace to set up your restaurant.

Fill in the following:

Choosing a Workflow Type

The workflow type determines which dashboards are created for your staff. You can always change this later.

Click Create Merchant when you are done. Your workspace is created and you are taken to the main CRM.

If you manage multiple locations, you can create additional workspaces later from the workspace selection screen. Click your restaurant logo at the top of the sidebar to switch between them.

Step 3: Set Up Your Menu

Before customers can order, you need to add your menu items.

  1. Click Menu in the sidebar
  2. Click Add Item
  3. For each item, enter the name, price, description, and optionally upload a photo
  4. Organize items into categories so customers can browse easily

You can also set up options and extras (e.g., pizza sizes, toppings, sauces) in Option Groups. See Options & Extras for instructions.

Step 4: Create Your First Service Point

Service points represent the ordering locations in your restaurant -- tables, counters, sections, or anything else you want to track separately. Each service point gets its own unique QR code.

  1. Click Service Points in the sidebar
  2. Click Create Service Point
  3. Enter a name (e.g., "Table 1", "Counter", "Terrace A")
  4. Make sure the Available toggle is on
  5. Click Create

Repeat for each table or location you want to set up.

Start with just a few service points to test. You can always add more later.

Step 5: Generate and Print QR Codes

Every service point has a unique QR code that customers scan to view your menu and place orders.

  1. In the Service Points list, click the QR code icon next to a service point
  2. A preview of the QR code appears
  3. Click Download QR to save the image
  4. Print the image and place it at the corresponding table or location

You can customize QR colors or create branded QR templates with your logo and design. See QR Codes for placement tips and QR Templates for the visual editor.

Bulk Download

If you have many service points, you can download all QR codes at once:

  1. On the Service Points page, click Select
  2. Check the service points you want (or click Select All)
  3. Click Download QR Codes
  4. A ZIP file is downloaded with one image per service point

Step 6: Receive Your First Order

You are ready to go. Here is what happens when a customer places an order:

  1. The customer scans a QR code with their phone camera
  2. Your menu opens in their browser -- no app download required
  3. They browse, add items to their cart, and place an order
  4. The order appears on your Dashboard in real-time
How Customers Order

Customers can order in two ways:

  • Web browser -- they scan the QR code and order directly from their phone's browser. No app needed.
  • OKeep mobile app -- customers who download the app get additional features like loyalty points, vouchers, and order history.

Both methods work with the same QR codes and the same menu.

Setting Up Your Dashboard

Your dashboards were created automatically when you chose a workflow type. To view and manage orders:

  1. Click Dashboards in the sidebar
  2. Select the dashboard that matches your role (e.g., Kitchen, Pickup Counter, Waiter)
  3. Orders appear in real-time as customers place them
