Promo Timeline

View all your promotions, challenges, and battle passes on a single calendar. The Promo Timeline gives you a visual overview of what is running, what is coming up, and what has ended.

What the Timeline Shows

The Promo Timeline displays three types of events on one calendar, each color-coded:

This combined view helps you avoid scheduling conflicts and see gaps where no promotions are active.

Opening the Timeline

  1. Go to Marketing > Promo Timeline
  2. The calendar loads showing the current week by default

Calendar Views

Switch between views using the view selector at the top of the calendar.

Day View

Shows a single day with events displayed as time blocks. Best for checking what is running today and seeing exact time ranges.

Week View

Shows seven days side by side. This is the default view and is ideal for planning upcoming weeks.

Month (Grid)

A traditional monthly calendar grid. Each day cell shows event indicators. Good for seeing the big picture across an entire month.

Month (Agenda)

A list-style month view. Events are listed chronologically with their full details. Easier to read when many events overlap on the same dates.

List View

A flat, scrollable list of all events in chronological order. Best for reviewing everything at once without visual clutter.

Reading Event Status

Events appear with different opacity levels based on their status, so you can tell at a glance what is live versus planned.

tip

Look for faded events to spot campaigns that have ended. If an event looks nearly transparent, it has already concluded.

Interacting with Events

Viewing Event Details

Click on any event in the calendar to open its details. The detail view shows:

  • Event title and type
  • Start and end dates with times
  • Current status
  • Recurrence settings (if any)

Editing an Event Schedule

You can adjust the schedule of any event directly from the timeline.

  1. Click on the event in the calendar
  2. The Edit Modal opens with the following fields:
    • Event Title: The name of the promo group, challenge, or battle pass
    • Start Date and Time: When the event begins
    • End Date and Time: When the event ends
    • Recurrence Type: None, Weekly, Monthly, or Yearly
    • Valid Days: Which days of the week (for Weekly recurrence)
    • Valid Hours: Time range within each active day (From/To)
  3. Make your changes
  4. Click Save

The calendar updates immediately to reflect the new schedule.

Drag to Reschedule

For a quick schedule change, you can drag an event to a new date or time:

  1. Click and hold the event on the calendar
  2. Drag it to the desired date or time slot
  3. Release to drop it in the new position
  4. The event's start and end dates are updated automatically

Dragging an event changes its actual schedule. Customers will see the promo at the new time. Double-check the dates after dragging.

Planning with the Timeline

Checking for Gaps

Scroll through the calendar to look for days or weeks with no events. Gaps mean customers have no active promotions -- consider filling them with a quick promo story or challenge.

Avoiding Overlaps

If too many promotions run at the same time, customers may feel overwhelmed or miss important ones. Use the timeline to spread things out:

  • Avoid running more than two or three promo groups simultaneously
  • Stagger challenge start dates so customers can focus on one at a time
  • Use the Month (Grid) view to spot clusters of overlapping events

Seasonal Planning

Use the timeline to plan ahead for busy periods:

  1. Switch to Month (Grid) view
  2. Navigate to the target month
  3. Place your promo groups, challenges, and battle passes across the month
  4. Ensure coverage for key dates (holidays, special events, product launches)

Best Practices

Weekly Review

Check the timeline at the start of each week:

  • Confirm this week's promos are Active (full opacity)
  • Verify next week's promos are Scheduled (80% opacity)
  • Remove or reschedule any Draft items that should have been published

Color-Coded Strategy

Use the color coding to balance your marketing mix:

  • Orange (Promo Groups): Visual content -- stories and videos
  • Blue (Challenges): Engagement -- tasks customers complete for rewards
  • Green (Battle Passes): Long-term retention -- seasonal progression tracks

A healthy timeline has a mix of all three colors, not just one type.

Naming Conventions

Use clear, descriptive names for events so they are easy to identify on the calendar:

  • "Weekend Brunch Special (May)" instead of "Promo 1"
  • "Coffee Loyalty Challenge - June" instead of "Challenge"
  • "Summer 2025 Battle Pass" instead of "BP"
  • Promo Stories -- Create and manage promotional stories and videos
  • Challenges -- Set up customer challenges with rewards
  • Battle Pass -- Build seasonal reward progression tracks
